Challenge
The institutional knowledge was fragmented across shared drives with no intelligent way to search it, costing staff 15–30 minutes per query or an interruption to senior consultants. Distributed across time zones, the studio faced recurring knowledge bottlenecks, slow onboarding, and an overreliance on senior staff, creating real risk of losing institutional knowledge whenever team members moved on.
Solution
10Pearls designed and deployed a fully serverless, secure generative AI knowledge assistant on AWS, built on a Retrieval-Augmented Generation architecture.
Amazon Bedrock generates grounded answers using Amazon Nova Pro, while a lightweight Nova Micro model triages each query first to cut unnecessary model calls; Amazon Titan Text Embeddings v2 powers semantic retrieval, and Bedrock Guardrails enforce grounding checks, PII filtering, and topic denial, with every answer returning source citations. Program documentation lives in versioned Amazon S3 buckets, indexed automatically through Bedrock Knowledge Bases and kept current via Amazon EventBridge, which triggers instant sync on upload plus a nightly full re-sync.
Amazon Cognito handles authentication and role-based access, while API Gateway, secured with a Cognito JWT authorizer, routes requests to dedicated AWS Lambda functions behind a React and Vite web interface. Amazon OpenSearch Serverless serves as the vector store, auto-pausing during idle hours to cut cost. The entire system runs inside a private VPC with no internet gateway, least-privilege IAM roles, and full auditability through Amazon CloudWatch and SNS alerts.

Queries that once took 15–30 minutes, or a senior consultant’s time, now resolve in under 30 seconds. The firm projects that the assistant can handle 60% of repetitive knowledge queries independently, saving roughly 2,250 consultant-hours per month at a 50-person scale. Knowledge access is now continuous and self-service across all seven locations, easing onboarding and reducing the risk of losing institutional knowledge as people change roles. At 50 users and 500 queries per day, the system runs at roughly $180 per month, with auto-pausing vector search cutting infrastructure cost by over 75% — all while keeping sensitive content fully isolated and audit-ready.
